Virginia Area Guidelines
for the website standing committee

17. WEBSITE COMMITTEE
17.1.

The purpose of the Website Committee shall be to administer and maintain "The Website of the Virginia Area Assembly of Alcoholics Anonymous" (hereinafter, referred to as "the Website") on the Internet World Wide Web.

17.2.

The Website Committee shall oversee and coordinate the Website Committee meetings and the Web team activities.

17.3.

The Website Committee shall be responsible for finding the best price of goods and services to enable the Website to exist.

17.4.

The Website Committee shall ensure that the Website is self-supporting by the Virginia Area Assembly without receiving anything of value from any source outside the A.A. Service Structure or the A.A. Fellowship.

17.5.

The Website Committee shall conduct a periodic survey of the Area Assembly to ascertain whether the Website is fulfilling its purpose.

17.6.

The Website Committee shall display the Website at every Virginia Area Assembly and Virginia Area Committee Meeting assuming accommodations can be made.

17.7.

The Website Committee Chairperson shall designate additional members of A.A. to serve as members of the Web team.

17.8. Area Website:

A. 

The purpose of the Website shall be to assist Alcoholics Anonymous (A.A.) in the Virginia Area in carrying the message of A.A. and providing information about the A.A. Fellowship to the public.

B. 

The Website shall present the following information in order for the still-suffering alcoholic to make direct, face-to-face contact with A.A.:

1. 

A list of meetings of Virginia A.A. groups and meetings of A.A. groups affiliated with Virginia Area districts.

2. 

A listing of A.A. events within or connected to the Virginia Area.

C. 

The Website shall be a Public Information vehicle of the Virginia Area Assembly and shall present only publicly available information about A.A.

D. 

Operating within the principles embodied in the Twelve Traditions of A.A., the Website shall specifically, but not exclusively:

1. 

Link only to the General Service Office (GSO) and Grapevine Websites.

2. 

Use no individual's name.

3. 

Present no affiliation, endorsement or display of any non-A.A. entity.

E. 

Website Registration:

1. 

The Website shall be registered with the InterNIC as http://www.aavirginia.org, in the name of the Virginia Area Assembly.

2. 

"Chairperson of the Virginia Area Assembly" shall be named owner of the domain registration.

3. 

The billing contact shall be "Treasurer of the Virginia Area Assembly."

4. 

The technical contact with the InterNIC must necessarily be the Website's Internet Service Provider.

5. 

By holding the InterNIC account, "Chairperson of the Virginia Area Assembly" shall have direct control over the technical access to the Website.

F. 

The Website shall contain the following:

1. 

A home page displaying the name of the Website as well as clearly identified connections to the other sections of the Website.

2. 

A schedule of meetings of Virginia A.A. groups and meetings of A.A. groups affiliated with Virginia Area districts.

3. 

A list of A.A. events within or connected to the Virginia Area.

4. 

A map of Virginia showing the names and locations of Virginia Area districts.

5. 

Links to the GSO and Grapevine Websites.

6. 

A connection to the Web team E-mail Listserver.

7. 

The Guidelines for the Website Committee.

8. 

A counter indicating the number of accesses to the Website.

9. 

A list of submitted, public Virginia Intergroup/Central Office phone numbers.

10. 

A help function for site navigation.

G. 

Procedures to submit information for display on the Website shall be as follows:

1. 

General Service Representatives, District Committee Members, or designee of District Committee Member:

a. 

shall notify the Web team of changes to group information listed on the meeting schedule in writing, using E-mail or postal mail.

b. 

shall provide group information to the Web team in order to add groups to the meeting schedule.

c. 

may request the removal of any or all group information from the Website at any time.

d. 

shall have the responsibility of verifying the accuracy of group information on the Website.

2. 

Voting members of the Virginia Area Assembly shall provide announcements of A.A. events within or connected to the Virginia Area to be posted on the Website to the Web team in writing, using E-mail or postal mail.

H. 

Unilateral actions taken by an individual in regard to the Website, without prior approval of the entire Web team and/or a majority of the Website Committee and/or a majority of the Area Assembly, may result in the removal of that individual's technical access to the Website.

18. WEBSITE COORDINATOR
18.1.

The Website Coordinator shall have the responsibility of managing the Web team.

18.2.

The Web team shall consist of the Website Coordinator, an Alternate Website Coordinator and the Website Committee Chairperson.

18.3.

The Web team shall delegate the responsibilities in the administration and technical support of the Website among its members and shall keep the Website Committee informed as to the Web team's organization and operation.

18.4.

The Web team shall be responsible for the day-to-day maintenance of the Website including, but not limited to:

A. 

Updating meeting and event information in a timely manner.

B. 

Backing up the Website data files on a biweekly basis.

C. 

Monitoring the Website ensuring its ongoing operation.

D. 

Forwarding group information changes to the Area Mailing List Coordinator.

18.5.

The Web team shall have sole access to make changes to the Website and shall have responsibility to maintain appropriate security for the integrity of the Website and the information it contains.

18.6.

As trusted servants, the members of the Web team shall be authorized to make changes to the Website, as they deem necessary, within the limitations of these guidelines.

18.7.

To facilitate the operation of the Website, the Web team shall maintain an E-mail Listserver.

A. 

The Web team shall provide pertinent E-mail communication that occurs via the Website.

B. 

Any interested A.A. member shall be included on the Listserver.

18.8.

The members of the Web team shall have equal and full access to the Website, including file transfer privileges and control of the Website's E-mail Listserver.

18.9.

Should irreconcilable disputes arise within the Web team, the Website Committee Chairperson shall present these matters before the entire Website Committee to be resolved.

19. AMENDMENT PROCEDURE
19.1.

Any amendments to these Guidelines shall be approved by majority vote of the Area Assembly.
